This Privacy Policy explains how DPF DOC (“DPF DOC,” “we,” “us,” or “our”) collects, uses, and shares information when you visit dpfdoc.com (the “Site”), call one of our locations, or otherwise interact with us.

Who We Are

This Site is operated by DPF DOC Holdings LLC, which owns the DPF DOC brand.

Service at each location is provided by an independent operating company, each an authorized DPF DOC service center operating under license from DPF DOC Holdings LLC. That company is the one that inspects and services your vehicle, issues your invoice, and stands behind the workmanship warranty for that work.

When you book service, call, or text a location, the operating company for that location receives and uses your information to serve you, as described below. This Policy will be updated to identify the operating company for each new location as it opens.

1. Information We Collect

Information you provide to us

• Contact information — name, phone number, email address, company name (for fleet/B2B accounts).
• Vehicle information — year, make, model, VIN, mileage, and a description of the issue you’re reporting, when you request service or a diagnostic.
• Information you give our booking form, our online chat, or our phone line, including when you speak with our AI phone assistant.
• Payment-related information handled at the time of service. We do not collect full payment card numbers through the Site.

Information collected automatically

• Standard technical information such as IP address, browser type, device type, and pages visited, collected through cookies and similar technologies described in our Cookie Notice.

Phone calls

Calls to our business lines may be answered by a human team member or by our AI phone assistant. Calls may be recorded for quality, training, and record-keeping purposes. You will hear a notice at the start of the call informing you that it may be recorded.

2. How We Use Information

We use the information we collect to:

• Schedule and provide diagnostic and repair services, and follow up on open estimates or vehicles ready for pickup.
• Respond to questions, quote requests, and B2B/fleet account inquiries.
• Send appointment confirmations, service updates, and invoices.
• Send you marketing text messages or emails, but only if you have separately agreed to receive them — agreeing to a service appointment does not by itself enroll you in marketing messages.
• Measure and improve the performance of our advertising, for example understanding which search listing led to a call or booking.
• Comply with legal, tax, and warranty record-keeping obligations.

3. How We Share Information

We do not sell your personal information. We share information only with:

• The operating company for your location, as identified in the table above, so it can service your vehicle and communicate with you about that work.
• Service providers who operate the systems we use to run the business — our CRM and scheduling platform, our AI phone assistant provider, and our SMS and email platform. These providers are only permitted to use your information to provide services to us.
• Insurance companies, if you ask us to bill your repair to an insurance-covered repair plan — only the information needed to process that specific claim.
• Legal or safety reasons — if required by law, subpoena, or to protect the safety of our staff or customers.
• A successor business, if DPF DOC or the location you visited is sold or transferred, subject to this Policy or a successor policy.

4. Cookies and Tracking Technologies

The Site uses cookies and similar technologies. See our full Cookie Notice for the categories of cookies we use and your choices. In short:

• Necessary cookies keep the Site and booking form working and cannot be turned off.
• Analytics and advertising cookies, if and when we enable them, help us understand Site traffic and advertising performance. These are only set with your consent, where consent is required, and you can decline them through your browser settings.

5. Your Choices

• Text messages: Reply STOP to any message to stop receiving texts. Opting out of marketing messages does not affect appointment or invoice-related messages, which are transactional.
• Email: Use the unsubscribe link in any marketing email.
• Cookies: You can decline non-essential cookies through your browser settings at any time.
• Access, correction, or deletion: You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it — subject to what we are required to keep for tax, warranty, or legal reasons — by contacting us using the details below.

6. Data Retention

We keep customer and vehicle service records for as long as reasonably needed for warranty claims, tax records, and legal requirements, and delete or anonymize information we no longer need for those purposes.

7. Children’s Privacy

The Site is directed at commercial vehicle owners, operators, and fleet businesses, and is not directed at children. We do not knowingly collect information from children under 13.

8. Security

We use reasonable administrative and technical measures to protect the information we collect. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Policy from time to time. The “Effective Date” above shows when it was last updated. Material changes will be reflected on this page.
